Modern DAM: Why Workflow and Metadata Need to Evolve Together

Digital asset management has become an essential operational capability for organisations managing growing volumes of content across multiple teams, channels and compliance requirements. But when a DAM isn’t delivering the value expected, the technology itself isn’t always the problem. In many cases, the real challenge is the way workflow and metadata have evolved - or failed to evolve - around the platform. Legacy workflows can remain in place long after business requirements have changed. At the same time, metadata structures often grow more complex as organisations try to accommodate governance, rights management, discoverability and different user needs. The result can be a technically capable DAM that still creates unnecessary friction for the people using it.

Workflow and metadata are connected
A successful DAM environment needs to consider workflow logic and metadata as parts of the same operational system.
Good metadata improves discoverability, governance and reuse. Good workflow ensures that metadata is captured, maintained and applied without creating unnecessary work for users.
Modernising one without considering the other can simply move the problem somewhere else.
I explore this in my paper, Designing and delivering modern digital asset management: Integrating workflow logic and metadata for practical impact, published in the Journal of Digital Media Management.
The paper looks at practical ways organisations can modernise their DAM environments through:
- user-focused workflow design
- targeted automation
- metadata prioritisation
- standards alignment
- incremental improvements rather than unnecessary wholesale system replacement.
The focus is on practical changes that reduce friction, improve asset discovery and strengthen governance, while helping organisations get more long-term value from the digital assets they already manage.
While these principles apply broadly across enterprise DAM environments, they are particularly relevant to galleries, libraries, archives and museums, where discoverability, preservation, rights and governance often need to coexist within complex operational workflows.
